1. Scope and roles
This policy applies to the LeadManthan website, workspace and related support. A business using LeadManthan generally decides which property leads to upload, why they should be contacted and which communication channels to use. That business remains responsible for its relationship with those leads, including providing required notices and establishing a lawful basis for outreach. LeadManthan processes that workspace data to provide the service and also processes account and operational data needed to run and secure the platform.
2. Information we process
- Account and workspace details, including names, business details, email addresses and phone numbers.
- Property project information and documents uploaded by authorised workspace members.
- Lead details, preferences, notes, communication history, appointments and follow-up instructions.
- Call audio or transcripts only when the relevant features are enabled and required notices or consent are in place.
- Provider configuration, delivery events and usage records for connected calling, AI, WhatsApp and email services.
- Security, diagnostic and audit information such as login activity, request metadata and error records.
Do not upload sensitive or unrelated personal information that is not needed for the stated sales workflow.
3. How information is used
We process information to:
- create and administer accounts, workspaces and authorised team access;
- provide lead follow-up, verified project knowledge, communication and site-visit workflows;
- operate connected services selected by the customer;
- protect the service, investigate misuse, troubleshoot failures and maintain audit records;
- respond to support, privacy and legal requests; and
- produce aggregated operational insights that do not identify an individual.
LeadManthan does not sell personal information.
4. Communications, consent and preferences
Customers must contact only recipients they are authorised to contact, respect registered preferences and do-not-contact requests, use approved sender identities and templates where required, and configure calling hours and recording disclosures appropriately. Recipients may ask the contacting business to stop a channel or all further outreach. Workspace suppression controls are designed to help customers honour those requests.
5. Service providers and international processing
LeadManthan may use infrastructure, database, monitoring and support providers to operate the platform. Customers may also connect their own telephony, AI voice, messaging and email providers. Data is shared with these providers only as needed for the configured workflow. Provider terms, locations and privacy practices may also apply, and information may be processed outside the customer's state or country where permitted.
6. Retention and security
Retention depends on the type of record, workspace configuration, customer instructions, provider behaviour, backup cycles and legal requirements. Customers should agree retention periods for lead data, recordings, transcripts, uploaded documents and audit records before activating production outreach. We use access controls, encryption for configured secrets, tenant separation and restricted storage controls, but no online service can guarantee absolute security.
7. Your choices and requests
Depending on the applicable law and your relationship with a LeadManthan customer, you may request access, correction, deletion, withdrawal of consent or grievance review. If a property business contacted you, contact that business first because it controls the lead relationship. You may also use the details on our contact page; we may need to verify your identity and coordinate the request with the relevant workspace customer.
8. Children
LeadManthan is a business sales platform and is not directed to children. Customers must not knowingly upload children's personal information for sales outreach.
9. Changes and contact
